Minutes for Recording Media DG, Midwinter ALA, San Antonio, TX 2006

The group began with an update from Kate Contakos of the CCAHA’s symposium 
“A Race Against Time: Preserving Machine Based Audiovisual Media,” 
sponsored by the NEH and held in Philadelphia, PA in November, 2005. 
Charlie Kolb also noted that the NEH will be sponsoring an open workshop 
on recording sound at SAA in August 2006. Speakers will include Steve 
Weiss, and Joann Rudolph, and Jim Reiley. 

The open discussion focused mostly on ways in which to preserve media. 
Some methods talked about were duplicating at the point of use, or 
digitizing as requested. This led into discussion of file sizes and 
storage space, digital storage maintenance, delivery systems, and 
databases. Some of the difficulties with databases are inclusion of 
sensitive information, restricting access when used for clinical research 
or when identity needs to be kept in confidence. People spoke about 
controlling access to databases when using remote access, as well as 
providing access beyond the library or campus. Also discussed were 
legality and copyright issues, distinctions between archival copy and use 
copy, and distribution of these versions. Also at issue is machine 
obsolescence and access to analog masters when it finally comes time to 
make a digital archival copy. The topic for next time will focus on survey 
tools and assessment; this seems to be the most in demand and several 
projects related to this topic are nearing completion in time for Annual
