Our art museum works with a private company who maintains and
repairs the air conditioning.  we have a very good relationship with
them and it works well. There are however a few tips:

    1.  Ensure that the same engineer or mechanic always does the
        maintenance there is then a continuity and you can ask this
        person questions that he will be able to answer.

    2.  It is important to have a good working relationship with the
        manager of  the company first name terms etc.

    3.  Make sure that the company fill in a log book that is kept
        at the institution.  The means that the bills you get will
        not include costs that th costs that do not tally or exist.
        It also ensure you keep an eye on the dates so that you can
        ensure that the three monthly mechanical and six monthly
        electrical maintenance are adhered to.

    4.  Ensure that a knowledgeable and responsible member of staff
        takes responsibility for checking the workmanship and not
        being shy of complaining should the work be not up to
        scratch.

    5.  Make sure that the contract covers all eventualities eg
    coming out at  3 in the morning.
