RFP: Publication of ICOM triennial preprints

Request for Proposals:
ICOM Conservation Committee Rio de Janeiro Preprints--September 2000

The ICOM Conservation Committee (ICOM-CC) will hold its 12th
Triennial Meeting in Rio de Janeiro, Brazil, September 22nd to 28th,
2002 , as usual, Preprints will be published for distribution to
delegates and subsequent sale.

The Preprints will contain refereed papers from the Committee's 21
Working Groups, plus introductions to each section by Working group
Coordinators, poster abstracts, table of contents, other front
matter, and author indexes. They will follow the format and layout
used in the 1996 Edinburgh and 1999 Lyon Preprints. A maximum of 150
papers and 50 poster abstracts will be accepted. Papers may be
submitted and published in English, French and Spanish.

ICOM-CC will prepare Instructions for Authors, Guidelines for
Coordinators and the Preprints Schedule in consultation with the
publisher. It will appoint a Preprints Committee to make the final,
selection of papers and Editors to manage the overall process,
volume content and copyediting of papers; it will cover the costs
associated with these functions.

The publisher will serve as the central contact point for
distribution of the Instructions, Guidelines and Schedule, receipt
and tracking of submissions and correspondence with authors and
Coordinators, It will design, and lay out the volumes including the
cover, prepare the table of contents and author indexes, provide
proofs for correction by Working Group Coordinators and perform
proof reading as required. ICOM-CC is primarily responsible for
editing of text but may require support for proofreading if
required.

The publisher will be responsible for final selection of  printer
and will consider making the preprints available as CD ROM to
conference participants and in post conference sales in addition to
traditional hard copy.  The publisher will make available 20
reprints of each paper to each principal author of each paper.

Delivery is to be conference site at least one week before the
conference.

Paper and binding will be as in previous conferences - the paper
will meet the ISO permanence standard.

Papers will be made available on the publisher's web site to paid up
conference attendees two or three months in advance of the
conference.

    Prep Printer to be provided with final text in electronic format
    plus camera-ready artwork
    Artwork: a maximum of 750 photographs and 750 line drawings
    Proofs: Colorkey cover, Blueline text.
    Press: Cover: 3PMS, Black, overall UV coat one side
            Text: Black two sides
    Finishing: Hinge Score, perfect bind.
    Packaging: Carton, standard per volume
    Delivery: Approx 8? sets to Rio de Janeiro at 30 July 9002
    Balance to be determined
    Quantity: 1500 x two volumes

Notes regarding Proposal: While ICOM-CC is interested in pursuing a
cooperative publishing venture as a way of managing costs of
production. ICOM-CC has decided that all production costs incurred
by ICOM-CC in advance of the conference should be recuperated
following the Rio Triennial meeting by including those costs in the
conference expenditures.

The preferred arrangement is that the publisher is compensated for
only the preprints required for the conferences by the conference
organisers. But that sales after the conference are managed by the
publisher for a percentage of the revenue received.

Please provide brief outline of administrative support available
from publisher; marketing and advertising strategy for volumes;
position re. copyright of papers and ownership; shipping method and
cost estimate; revenue-sharing arrangement.

Straight fee-for-service proposals should indicate overall costs and
provide any details that would lead to special consideration of the
proposal.

Deadline: Proposals must be received by 31st August 2000, successful
candidates will be notified in early December 2000 - after the
Directory Board meeting which is to be held in Rome at the beginning
of November.
