Position Vacancy Administrative Assistant, 20-30 Hours/Wk The Abbey Newsletter needs long-term help with administrative and practical matters, including bookkeeping, payroll, bills, circulation (for 1050 subscribers), mailings, and dealing with phone orders and suppliers. The office computers are all Macintoshes using principally Microsoft Word, Filemaker Pro, and Quicken. The office is located in a private home in northeast Austin. The newsletter goes to technical and administrative personnel in major libraries and archives, supplying news and information on preserving their collections. In its 24 years of publication, it has earned the reputation of being among the best in its field. Many subscriptions come from major institutions in Europe, Asia, Latin America and Africa. The current administrative assistant is working a reduced schedule for health reasons. The new administrative assistant will be filling in for her about three days a week, overlapping as necessary for training and coordination of the work. This is not a temporary job, but scheduling will have to be flexible for the foreseeable future. Duties: Keep the books, make out payroll and do monthly payroll taxes; pay bills, balance checkbook; keep up supplies; compile graphs of sales, production and so on to guide management decisions; answer phone; maintain databases; keep files of correspondence and office records in good order; help mail out newsletters; send tear sheets and invoices for job ads published in the newsletter; package pH pens and reading matter for shipment by mail or UPS, here or abroad; and other duties as required. Requirements: Good formal or on-the-job training in the office skills involved; orderly thinking and good communication skills (listening, speaking, reading, spelling and writing); knowledge of at least one foreign language and ability to use foreign dictionaries to read correspondence from abroad; familiarity with common business forms and procedures, including methods of payment; follow-through and problem-solving skills; training or experience in use and care of office machines; ability to prioritize tasks and manage time; willingness to give and receive feedback on delegated tasks or projects; a commitment to quality and efficiency; and willingness to work within an existing system while studying ways to make it better. Compensation: $8.50-$9.00 per hour to start, depending on qualifications. Benefits for part-time employees (under 30 hours): Four paid holidays, flexible work hours and informal dress, occasional bonuses for performance on projects.
